Academic records
When you finish your studies, you may receive various documents or academic records, including:
- Notification of Completion
- Academic Transcript
- Australian Higher Education Graduation Statement (AHEGS)
- Testamur (award or certificate).
Receiving records by email
You'll receive important information and links to your academic records via email. We'll use your personal email if you provided one, or your VU email address.
Please check your email addresses regularly to make sure you get this information.
Testamur (or Award)
A Testamur (known also as 'Award') is the certificate you receive when you graduate.
Receiving your Testamur
If you are a higher education student attending a graduation ceremony, you'll receive a hard copy Testamur at the ceremony. You'll receive a link to a digital version after conferral.
The information will be sent within 24 hours of conferral to your personal email address or, if you didn't register one with us, to your VU email account.
Graduating 'In Absentia' (not attending)
If you don't attend a graduation ceremony, you can receive your Testamur by mail. We will be in touch to ask for a mailing address.
Higher education students
For our university graduates, information on collecting your Testamur is included in your 'invitation to graduate', which will be emailed to you.
Information on your digital documents is available at My eQuals.
TAFE students
If you're graduating from TAFE at VU, you'll receive two emails – one for notification of completion and another with a link to your digital certificate via My eQuals.
Notifications are only sent when your completion is confirmed and your award is conferred. Conferrals occur every two weeks.
Name printed on your award
The name printed on your award is the same name on your student enrolment record.
Any variations will require you to complete and submit a personal details amendment form with supporting documentation, either original or a certified copy.
When you submit your amendment form at VUHQ you need to let them know that a copy needs to be sent to the graduation office.
Notification of Completion
A Notification of Completion is an official statement from the University confirming that you've completed your course requirements and are eligible to graduate.
Once your student record has been conferred, a Notification of Completion willbe sent to your student email address.
Additional or replacement Notifications of Completion cost $20 (hardcopy versions issued before May 2015 only).
Academic Transcript
An Academic Transcript is a true account of your Victoria University results.
HE students will receive a link to a digital version of your transcript after you graduate. The link is sent to your personal email address, or your VU email address if you haven't registered a personal one with us.
Please note that TAFE students cannot obtain new electronic documents via My eQuals due to technical issues. This service will be available again shortly. In the meantime, you can request hard copy academic transcripts for the same cost as digital versions, by completing the form.
Additional copies
If you need more copies of your transcript, please complete the Request of Academic Transcript or Statement of Attainment.
Read the form for information on how to pay and submit.
You can get a replacement copy free of charge if you find an administrative error (e.g. incorrect grade). Please submit your request to ASKVU.
Student Exchange & Study Abroad students
International exchange students from partner institutions will have their transcripts sent directly to the International Department of their home institution.
Study Abroad students from non-partner institutions will have their transcripts sent to their home address.
VU Extra Transcript
The VU Extra Transcript, available for activities undertaken from mid-2017 onwards, is an official document of Victoria University.
It shows your extracurricular and voluntary activity in approved programs. These appear on your Transcript once the program coordinator confirms that you've completed any requirements.
Eligible students will be issued with an official VU Extra Transcript upon graduation, free of charge.
Find out more information about VU Extra Transcript programs or refer to the VU Extra Procedure in the Policy Library (login may be required).
Australian Higher Education Graduation Statement (AHEGS)
Eligible Higher Education graduates will also receive an Australian Higher Education Graduation Statement (AHEGS).
It provides a description of the nature, level, context and status of your studies.
The AHEGS is designed to:
- improve national and international recognition of Australian qualifications
- help students find work or other opportunities overseas
- support professional recognition of Australian graduates.
The AHEGS contains the following information:
- your personal details such as name, student number

- details of your academic achievements, including details of units of study undertaken toward this award
- description of the Australian Higher Education System – a comprehensive summary of the Australia system.
The AHEGS is additional to other documentation, such as testamurs and academic transcripts.
Receiving your AHEGS
You will receive an email containing a link to a digital version of your AHEGS within 24 hours of your graduation ceremony.
Additional/replacement copies
If you need more copies of your AHEGS, please complete the request for awards and graduation documentation form.
